General Meeting Minutes

May 16, 2011

Members Present:

Chan Philbrick – President

Erik Van Dorn – Financial & Operational Reports & In-coming President

Lance Rightmyer – Maintenance & Receiving Treas. (BOD)

Bob Slocomb – Member (BOD)

Al Benjamin – Member VP Membership

Larry McKnight – Member

Steve Brent – New Disbursing Treasurer

Margaret Coombes – New Secretary

I Approval of April 18, 2011 Minutes

Action: Approval of minutes with noted changes in officers

II Arrangement for Annual Dinner-Yacht Club, date changed June 18th

Although members have expressed interest in attending the dinner they need to RSVP via email to Bob, along with their choice of food ASAP.

The annual dinner will provide a wonderful opportunity to hear Dawn Seymour, one of the “Lucky 13”, WASP.

RFC is extending an invitation to the 99s to attend the dinner as well as others who may have an interest in aviation.

Action Requested: Please email Bob Slocomb ASAP, so RFC can have access the night of the event to an upstairs room at the Yacht Club.

III Spring Election

Members unanimously voted to accept the following nominations:

▪ President – Erik Van Dorn, One-Year Term & Erik has graciously agreed to continue to function as Officer of Financial & Operational Reports

▪ Secretary – Margaret Coombes

▪ Director – Phil Urban

▪ (Need to appoint a Director at next meeting to replace position Erik vacated)

IV Financial Report – Eric Van Dorn

A question was raised regarding the necessity of the liability insurance for officers and directors. It was explained that this insurance is necessary in order to cover the possibility of someone holding the officers liable for such decisions as, membership, plane maintenance or repairs.

Erik gave an overview of the Balance Sheet, Profit & Loss, Club Expenses and the Tack time of each of the planes. Erik reported that the cash flow is down, but the accounts receivable are increasing, nonetheless RFC is still doing well. RFC’s line of credit (LOC) is approximately $13,000.00. The good news is that the overall maintenance costs have been reduced because of having it serviced by Chris in Canandaigua.

On-going discussion about the ROC fuel & even with discount it is still $6.68 & rising. Although our RFC club expenses are often high due to maintenance we could save and maintain the club rates by purchasing fuel off-field. Several places were suggested such as, Batavia, Williamson – Sodus or Penn Yan. The savings could help the club avoid increasing the costs of planes or possibly billing by dry tack time and members would be responsible for fuel.

Action: Plane rates will remain the same, but will be reassessed in August

Action requested: Members strongly encouraged to Purchase Fuel Off-Field.

V Status of Sale of Dakota 8323Y and Archer 8105X:

There were a few delays in getting the planes listed on E-bay, but will be posted shortly

Prices are as previously agreed upon, 05X – $49,000 and 23Y- $95,000

05X had a cracked muffler shroud & it was repaired and is ready

VI Safety & Operations

Ops center was cleaned and organized by Phil, Al and Steve. RFC can continue to use this space, but it will not be heated this winter and cable was discontinued

Ops center needs a new door and frame and Al agreed to work on this and on-line services

Discussion with Isabelle about other available space for club, but the decision is to continue to use the Ops center

VII Maintenance – Lance Rightmyer

23Y: Dakota’s annual is finished and can be picked up in Canandaigua

▫ See updated email from Lance on May 23, 2011

39Z: The left strut on 39Z is very low and Chris has advised that they would need a couple of hours to repair the seals in the strut and re-fill with nitrogen

05X: The landing light on 05X is inoperative and Chris is aware that this needs to be repaired.

VIII Membership – Al Benjamin (Chan Philbrick)

RFC has one perspective prospective member at this time

Another class VI is interested in becoming an active member again depending on type of plane the club purchases in the near future

Anyone renewing their airport security badge, renewals occur on Wednesdays at 10:30 and you’re required to review a power point that takes approximately 10 minutes.

The website looks great and has a members’ only section

There is area for adding comments & pictures (blogging). Please feel to add some information and the area was also intended for members to connect with each for any trips or a couple of hours of flying

Your RFC password should give you access to the member’s section and if there are any issues can contact Jim @logisticalsolution.net or Al

Site is getting some hits

IX Receiving Treasurer – Lance Rightmyer

Members are paying on time

X Disbursing Treasurer – Steve Brent

Steve has some difficulties with the quick books, but everything is up-to-date

Final Time Warner bill paid and refund check received.

RFC received invoice for an additional Tie down, and the increases are in effect

Action: Steve will contact US Airports and get the additional costs resolved

XI Old Business / New Business

Bob expressed his gratitude to Chan for his diligent work and open communication with the membership and other members shared accolades

Chan will continue to remain active and will attend the annual dinner

Chan explained that he did have contact with the admiral from the Blue Angels, but RFC/Artisan could not guarantee the audience size of 50-60, so decided not to pursue him as a speaker

Golf is still on with the Artisans

Poker Run in Batavia June 19th

Wings event at ROC on June 10th

The next RFC meeting is Monday, June 20, 2011, 7:00-9:00PM at the GRIA International Conference Room (3rd Monday of the month).
